Conditions and Acceptance of Purchase Order


By accepting this purchase order you are agreeing to and adhere to the following:


Booking in:

·       All deliveries must be booked in via email to goods.in@elitefinefoods.co.uk and accepted by return email.

·       You must provide the following detail:

o   Our active Purchase Order number

o   If delivery is 2 or more Purchase Orders combined all Purchase Order numbers relating to that delivery must be provided.

o   Quantity of pallets being delivered – Elite do not accept Euro pallets and reserve the right to refuse delivery.

o   Delivery Chamber – Frozen / Ambient / Chilled

o   Anticipated delivery time (This is not guaranteed and will be confirmed back to you)

·       Cut off time for booking in is 16:00 the day prior to delivery

·       Delivery slots are given on a first come first served basis

·       Goods in are accepted 09:00–16:00 Monday to Friday

 

Failure to adhere to this process will cause rejection of your delivery by our depot


Goods in procedures:

·       Drivers and hauliers must report to the goods in office upon arrival on site ensuring they are wearing a hi-vis at all times

·       The correct paperwork must be provided and handed to the member of team in the goods in office

·       The goods will then be unloaded and go through the relevant checks by our team

·       Goods must conform to our own critical temperature limits which are -18 for frozen and +5 or below for chilled goods.

·       Once the checks are complete the paperwork will be cross checked with the physical goods, if everything matches the driver will be handed a signed version before they leave.

·       If there are any discrepancies with the goods then the driver must co-sign against the clearly marked discrepancies on the paperwork, failure to sign may result in refusal of the entire delivery 


Feedback:

 

·       If there is any incorrect information on the purchase order e.g pack sizes, weights then please provide detail and feedback.

·       If there are any stock shortages or items unavailable please send detailed line feedback.

·       If the delivery date requested on your purchase order is unavailable please contact us to agree a suitable delivery date.

Price Discrepancies

 

·       The invoice value received must match the value on our Purchase Order

·       Please inform the purchasing team of any price discrepancies immediately by email to purchasing@elitefinefoods.co.uk clearly stating the Purchase Order number and the discrepancy. 

·       By accepting the Purchase order and dispatching goods you accept the price we have provided is correct.

·       Any price discrepancies raised after dispatch need to be emailed to ap@elitefinefoods.co.uk for investigation.


Not following the above procedure will result in delay of payment.


Goods in Delivery Address

 

All goods in deliveries are only accepted at our Newhaven address unless specifically agreed before hand.
